Job Summary

The Payroll Analyst III is responsible for acting as the lead on preparation, documentation, and disbursement of payroll, payroll taxes, social security and mandatory employee benefit payments in addition to participating in the ongoing activities associated with processing payroll. Incumbents in this role actively participate in developing, modifying and implementing procedures and processes as well as acting in a subject matter expert capacity regarding payroll taxes, time and attendance. Acts as the primary point of contact for external vendors, reviews and ensures adherence to SLAs, manages improvement initiatives as well as ensuring global standards are implemented across the function. Employees in this role will also provide recurring and ad hoc reporting analysis, making recommendations for cost reduction as necessary.


Primary Responsibilities

  • Process payroll each pay period in a timely manner by following standard procedures.
  • Audits data inputs for accuracy and makes any necessary corrections; ensures relevant controls are being followed.
  • Maintains daily relationships with the external payroll provider.
  • Proactively challenges the provider if the local legislation is not adhered to and/or if the quality of services is insufficient.
  • Works closely with the chosen legal advisory company in order to receive the relevant advice.
  • Works with the Payroll provider to identify continuous improvement opportunities and to rectify any Payroll related issues.
  • Monitors adherence to established SLA’s and partners with the provider to ensure they are maintained, or corrective action is taken to return to the agreed upon terms.
  • Addresses complex employee and manager queries as well as regulatory agencies’ queries.
  • Process and control payroll related invoices; requests for any additional services if required.
  • Reviews relevant reports for submittal to leadership to ensure pay slips are accurate and that audit controls have been met.
  • Identifies the need for new wage type creation based on various business needs; provides tax and social security advice by gathering information between multiple functions in order to set up the wage type in accordance with the local legislation.
  • Partners with relevant stakeholders as needed; reviews and responds to complex regulatory agency inquiries such as tax agency report requests, third party garnishments, etc.
  • Acts as the lead in managing payroll related projects.
  • Performs other duties as assigned.



Education

  • Bachelor’s degree or equivalent.


Experience

  • 3+ years Payroll experience is obligatory.
  • Experience in managing third party vendors.
  • Customer service experience desirable (also internal customers).
  • Change management experience desirable.
  • Kronos knowledge nice to have.


Essential Skills

  • Demonstrated leadership skills.
  • Strong analytical skills.
  • Knowledge of both English and French.
  • Strong communication skills, both verbal and written.
  • Proficient in Microsoft Excel.
  • Knowledge of payroll processes/systems and ability to create SOX compliant payroll procedures.
  • Thorough knowledge of Payroll related legislation (tax, social security, labor law) in one or more countries.
  • Ability to prioritize work to ensure customers are satisfied and systems are up and running at all times.
  • Ability to analyze business and technical processes, identify where efficiencies can be gained and implement solutions.
  • Ability to work effectively in an SLA-based model while maintaining excellent detail orientation, accuracy and poise under pressure.
  • Ability to work with a collaborative work style and effectively handle employee inquires.
  • Ability to implement new regulations and/or applications quickly and effectively.
  • Ability to maintain confidentiality and/or sensitive business information.
